--- title: "ChatGPT vs Claude vs Gemini vs Copilot for business: which fits your team?" description: "Compare business AI seats by existing suite, privacy and agents. Verified pricing, admin controls and a practical 2–4 week pilot for B2B teams." author: "Carlos García" published: 2026-10-22 updated: 2026-10-22 language: en human_url: "https://kiia.cloud/blog/chatgpt-vs-claude-vs-gemini-vs-copilot-for-business/" --- > **In 60 seconds:** If work lives in Outlook, Teams and SharePoint, start the pilot with Copilot. If it lives in Gmail, Drive and Docs, check Gemini in your Workspace edition first. For a mixed team, compare ChatGPT Business and Claude Team on the same tasks and connectors. If people already use personal ChatGPT accounts, evaluate a company workspace and how to move habits and data. Reserve a few seats for 2–4 weeks and measure corrections, permissions and total cost before expanding. **Verified on October 22, 2026.** This guide compares business assistants licensed per person. Profile recommendations are Kiia's editorial judgment; product details link to official sources in each row. For other decisions, see the [comparisons hub](/blog/comparisons/). ## Verdict by where your team works | Profile | Where to start | What the pilot must demonstrate | | --- | --- | --- | | Microsoft 365: Outlook, Teams, SharePoint | Copilot in an eligible edition | Finding the right document, citing it and respecting permissions with real users | | Google Workspace: Gmail, Drive, Docs | Gemini in the current edition; consider Standard if features are missing | Completing tasks inside the apps people use without adding a second copy of the files | | Mixed team with documents across tools | ChatGPT Business and Claude Team, with a small group | Which produces acceptable work with less review and connections IT can administer | | Team already using individual ChatGPT accounts | ChatGPT Business as the first candidate | Separating personal and work accounts, organizing access and checking which data can be moved | For a mixed team, include a long document, a spreadsheet and a question requiring an internal source. The result may justify different tools for different groups. Comparing Claude vs ChatGPT for business means assessing administration and connectors alongside the quality of a response. ## Licenses, data and controls compared Public reference prices in USD per person/month, excluding tax. “Annual” means an annual commitment or annual billing as specified by the provider. These are not quotes for every LATAM country: confirm currency, billing entity, withholding taxes and availability locally. We exclude introductory discounts from the reference price and list Microsoft's promotion separately. | Criterion | ChatGPT Business / Enterprise | Claude Team / Enterprise | Gemini in Google Workspace | Microsoft 365 Copilot | | --- | --- | --- | --- | --- | | Entry price | Business: US$20 annual or US$25 monthly; 2-person minimum. [OpenAI][op-pricing] | Team Standard: US$20 annual or US$25 monthly; 2-person minimum. [Anthropic][an-team] | Starter: US$7 annual; Standard: US$14 annual, with broader app integration. [Google][go-pricing] | Business add-on: US$21 annual reference; displayed US$18 annual offer, subject to eligibility, through 12/31/2026, first year only. US$25.20 monthly. [Microsoft][ms-pricing] | | Higher plans | Enterprise: price not published / verify with sales. [OpenAI][op-pricing] | Self-serve Enterprise: US$20 annual per seat, 20-seat minimum, plus usage at API rates; sales-assisted terms: verify. [Anthropic][an-pricing] | Enterprise: price not published / verify with sales. [Google][go-pricing] | Business Standard with Copilot: US$23.50 annual as a bundle; do not compare it as an add-on alone. [Microsoft][ms-pricing] | | Base license requirement | Standalone subscription; no Microsoft 365 or Workspace purchase required. [Plan][op-pricing] | Standalone subscription; connected apps retain their own requirements. [Plan][an-team] | The suite is the license: Starter includes Gemini in Gmail and the app; Standard adds Docs, Meet and more. [Editions][go-pricing] | The add-on requires an eligible Microsoft 365 Business plan. Bundles include the suite. [Terms][ms-pricing] | | Where data lives | OpenAI's service and connected services; regional storage and inference are separate controls for eligible Enterprise/Edu customers. Do not assume them in Business. [Residency][op-residency] | Organization-managed work account. Team's contractual region: not published in this source / verify; do not extrapolate API options. [Team data][an-data] | Files in Drive; regional storage and processing controls depend on edition, service and configuration. [Privacy][go-privacy] | Work data in Microsoft 365; review residency, processing commitments and exceptions for the contracted model/service. [Privacy][ms-privacy] | | Training on business data | No training by default. [Policy][op-data] | No training on content by default in work plans. [Plan][an-pricing] | Google does not use Workspace data to train models outside Workspace without permission. [Commitment][go-privacy] | Prompts, responses and Graph data do not train foundation models. [Commitment][ms-privacy] | | Connectors / MCP | Custom MCP connections on Business and Enterprise/Edu web, including write tools; admin publication. [Availability][op-mcp] | Remote MCP connectors; the owner configures them for the team. [MCP][an-mcp] | Connected apps vary by account, edition and region. Custom MCP within this license: not published in the consulted help page / verify. [Apps][go-apps] | MCP documented in Copilot Studio; verify the specific agent's capabilities and license. [MCP][ms-mcp] | | Authentication / permissions | OAuth for tools with private data; review service permissions and admin approval per connection. [Authentication][op-auth] · [Admin][op-mcp] | OAuth or fixed credentials; a shared key gives everyone using that connector the same access. [Authentication][an-mcp] | Workspace account and admin-enabled apps; check source permissions. [Apps][go-apps] · [Access][go-privacy] | MCP supports OAuth 2.0 or API keys; tools can use the user's identity or maker credentials. [MCP][ms-mcp] · [Identity][ms-auth] | | SSO and administration | SAML SSO in Business; SCIM and additional controls in Enterprise. [Plans][op-pricing] | SSO in Team; SCIM in Enterprise. [Team][an-team] · [Enterprise][an-pricing] | Workspace identity and administration; confirm configuration with IT. [Editions][go-pricing] | Identity and access according to the Microsoft 365 plan. [Plans][ms-pricing] | | DLP and auditing | Compliance API and auditing in Enterprise; specific DLP: verify integration and scope. [Controls][op-pricing] | Audit logs and Compliance API in Enterprise; specific DLP: not published in the table / verify. [Controls][an-pricing] | DLP listed in Enterprise; confirm audit events and retention for each service. [Plans][go-pricing] · [Security][go-privacy] | Purview protects and audits interactions; verify required DLP and audit licenses. [Architecture][ms-protection] | | Spanish / LATAM operations | Spanish interface. [Languages][op-language] | Latin American and Spain Spanish. [Languages][an-language] | Spanish with feature-specific availability. [Languages][go-language] | Spanish among supported languages. [Languages][ms-language] | A Spanish interface does not confirm commercial support in your time zone or every feature in your country. A Spanish-language support SLA for your contract: **not published in the language sources / verify**. Test local names, currencies and documents with each candidate. “No training” does not mean “no storage.” Ask IT to confirm retention, export, deletion and what each connected third party receives. Separate the original file's location, chat storage, connector index and inference processing location. A suite's regional setting does not guarantee the same coverage for every extension. ## What changes when the assistant needs to act Looking up a policy and updating an opportunity require different permissions. MCP exposes tools; its presence does not establish that the action you need exists or is properly restricted. A connection may read documents while still being unable to write to your ERP. For a CRM trial, define a small action: propose an opportunity's next step and save it after its owner approves. Use test records, a restricted identity and a log of who changed what. Test denied access, expired credentials and a repeated request. The system should avoid duplicates and leave an error Operations can handle. Check whether a tool acts under each user's identity or a shared account. SSO into the assistant does not by itself restrict an integration key's permissions. Require confirmation for sensitive sends or changes and a way to revoke the connection. Include agent, API and connector consumption in the budget; a per-person fee alone does not describe that cost. If you already have Microsoft workflows, [Copilot and Power Automate or custom development](/blog/copilot-power-automate-vs-custom-development/) helps decide where the business rule should run. Locate the work: apps, files and the system holding the authoritative record. Measure any extra effort from copying data into another chat. 2. Define constraints: allowed data, required residency, user offboarding and audit evidence. A mandatory condition the plan cannot meet rules it out. 3. Specify the task: input, acceptable output and reviewer. “Help sales” is too broad; “a follow-up draft with correct sources” can be evaluated. 4. Calculate the full cost: new seats, base suite, additional usage, integration and review. Keep the quote and renewal date. ## A 2–4 week pilot with a few seats Assign, for example, two to five people to one process and respect plan minimums. This is a proposed pilot, not a validated sample size. Compare at most two candidates so the team can review the same work in both. | Timing | Work | Evidence for the decision | | --- | --- | --- | | Before starting | Choose repeatable tasks, an owner, test data and a budget cap | Acceptance criteria and a baseline for the current process, including review | | Week 1 | Test responses and drafts on the same cases; request sources | Accepted outputs, errors, total minutes and corrections | | Week 2 | Enable one restricted connector; test permissions and offboarding | Allowed and denied access logs, cost and exceptions | | Weeks 3–4, if needed | Repeat with new cases and an approved reversible action | Actual use, consumption limits, support effort and a decision by profile | Set the threshold before the pilot: unacceptable errors, an affordable cost per task and the review effort the process can absorb. Do not turn a quick response into an ROI claim. Compare completed work, including corrections and rework, and record tasks where the assistant did not help. At the end, decide whether to expand to one group, change plans, extend a specific test or cancel. Review automatic renewal and connection removal. [Why companies pause AI and how to measure a pilot](/blog/why-companies-pause-ai-measure-pilot/) develops this evaluation. ## When to choose none of them If opportunities lack a next step or approvals never make it back to the ERP, assess the connected process first. It may need an agent or automation with a trigger, rules, permissions and an exception queue. Buying a chat seat for everyone does not define those elements. Also hold off on sensitive data if no plan meets your verified constraints, or nobody can maintain connections and handle failures. Document that condition before contracting. To prepare the decision with Kiia, bring one process, the apps involved and an anonymized example. [Kiia's methodology](/methodology/) describes how to move from that map to a trial with acceptance criteria. Test both on the same tasks if your team works across several suites. Choose based on review effort, authorized connectors and plan controls. Both publish an entry price of US$20 per person per month billed annually, with a two-person minimum, verified on October 22, 2026. ### Is Gemini included in Workspace, and does Copilot need another license? Workspace includes Gemini with different features by edition: Starter includes Gmail and the Gemini app; Standard extends integration to Docs, Meet and more. The Copilot Business add-on requires an eligible Microsoft 365 Business plan; bundles including the suite are also available. Confirm the edition and local terms before buying. ### Is a business seat enough for an agent connected to a CRM? The seat may enable tools and connectors, but you need to verify the specific action, authentication, permissions and usage charges. A recurring process also needs action logs, error handling, human approval where appropriate and an operational owner.
