ChatGPT takes meeting notes: what Meetings does and what to check before recording a client

On a sales call, the problem often appears afterwards: who will send the proposal, what remains unresolved and when the salesperson will contact the client again. A summary helps reconstruct the conversation. Follow-up also needs a task that someone can close.

This guide separates verified Meetings features from an operational checklist for B2B small businesses. Product availability and data handling were checked on October 13, 2026.

What Meetings does and where it is available

According to the official Meetings documentation, the plugin is in beta in ChatGPT for macOS on Pro and Business plans. Windows, iOS and Android are coming soon, without a date. Business administrators must enable ChatGPT Space and Meetings.

It captures microphone and system audio for online calls or in-person conversations without adding a bot. Personalized summaries and suggested action items go into ChatGPT Space. A calendar is optional; it can detect calls outside it. Sessions stop at four hours. You can review, edit and start suggested tasks.

Meetings is separate from the older ChatGPT Record mode, which saves summaries as canvases in chat history. Do not transfer its conditions to Meetings or assume access through another plan.

No visible bot: tell participants before starting

The official guide requires notifying everyone and obtaining consent before starting. Only you see the app’s reminder: it neither notifies nor obtains consent from others.

Do not treat the absence of a bot as evidence that the client knows what is happening. Explain it explicitly, even on a brief call or one arranged by someone else.

Where audio goes and what remains

The official source says audio goes to OpenAI. It is deleted from your Mac and OpenAI’s servers when notes are ready; it may remain temporarily on your Mac pending connectivity or processing. Pages are private by default. Sharing grants access to notes, not the transcript.

Deleting audio does not mean deleting all meeting content. Separate audio, transcripts and the notes page when reviewing your internal policy; that plugin explanation does not specify a retention period for all text. Do not describe processing as entirely local either.

Checklist before recording a client

Use this as an internal procedure and review it with a legal adviser in each country. It does not replace that review or guarantee that informal consent is sufficient for your situation.

  1. Explain what you intend to do. Say that you will capture audio to generate notes with ChatGPT, that audio will go to OpenAI and how you plan to use the summary.
  2. Ask every participant for consent. Wait for a clear response before enabling capture. If someone joins later, pause and repeat the explanation.
  3. Document consent before recording. Use your company’s approved mechanism, such as written confirmation, and record participants, date and purpose. Do not record first and obtain permission afterwards.
  4. Offer to continue without recording. If anyone declines, take manual notes. Prepare that alternative before the call.
  5. Define what stays out. Avoid capturing credentials, health data, personal financial information or unnecessary confidential documents. If these arise, stop capture and switch channels according to the client’s policy.
  6. Agree who will see the summary. Define recipients, access and text retention. Review connected apps and avoid copying complete notes into the CRM when specific agreements are enough.
  7. Assign someone to review afterwards. Check names, dates, amounts and commitments against what was agreed before sharing notes, sending a proposal or changing an opportunity.

A possible opening, adapted to your procedure:

I’d like to use ChatGPT to generate notes from this call. Audio would go to OpenAI for processing, and we would use the summary to prepare follow-up. I’ll review it before sharing it with the people we agree on. Does everyone consent? If you prefer, we can continue without recording and I’ll take manual notes.

That wording starts the conversation; your procedure must also specify how the response is recorded and how long text will be retained.

From a summary to a sales task

Meetings may be enough when one person reviews the call and records next steps. Start there before building an integration. Check that the salesperson can find the agreement and complete follow-up without requesting the context again.

When several people handle an account or you need to detect overdue tasks, use the CRM as the shared record. A proposed workflow would:

  1. Review the summary and separate confirmed agreements from suggestions.
  2. Link each agreement to the correct account and opportunity IDs.
  3. Propose a task, owner and due date; request review if any are missing.
  4. Save only necessary context, linking to notes where access allows it.
  5. Confirm the write, prevent duplicates and route failures to a queue with an owner.

For example, “send the proposal” remains unresolved until someone confirms who prepares it and when it is due. A reviewed draft can become a task; an ambiguous suggestion should not set a client commitment on its own.

This is an integration design, not a guarantee that Meetings automatically syncs with your CRM. To develop it, start with CRM as the source of truth, continue with an opportunity follow-up agent and define how to detect opportunities without a next step.

Before a pilot, choose one call type, a reviewer and a way to record the next step. Use your own data to measure how many reviewed tasks reach the CRM and what corrections are needed. That gives you a basis for deciding whether to automate the next stage.

Frequently asked questions

How should I document consent before starting?

Agree on a procedure with your team and legal adviser for each country and client. As an operational record, note who agreed, when and for what purpose; you can request written confirmation before the call. Do not start capturing audio to obtain permission within that same recording.

What if someone prefers not to be recorded?

Continue without audio capture and take manual notes. If another participant joins, pause capture and explain the use before resuming with their consent. The alternative should allow the sales meeting to continue.

When should action items go into the CRM?

When the team needs an owner, a due date, a link to the opportunity and evidence of completion. Start by manually recording reviewed tasks; automate when volume warrants it, with ID validation, duplicate prevention and an error queue.
